Staff access

Access controls which business pages a staff member can open. Set up roles before creating staff accounts, then test the result from a staff session. Page access and an Admin PIN serve different purposes.

Create a cashier role

  1. Sign in as the owner and open Access.
  2. Choose Create role and enter a meaningful Role name, such as Cashier.
  3. In Page access, select only the required modules. For a sell-only cashier, select Sell.
  4. Select Save role. A role needs a name and at least one selected page.
  5. For another responsibility, create a separate role rather than expanding every cashier's access. Give Transactions access only to staff trusted to handle its record-changing tools.

Create the staff account

  1. Choose Create staff account.
  2. Enter Staff name, a valid Email address and Assigned role.
  3. Enter a unique Password of at least eight characters and Confirm password.
  4. Save and verify the account appears with the intended role.
  5. Have the staff member sign in with that account and confirm which pages appear. Test the workflow without creating unnecessary live transactions.

What a sell-only cashier should expect

A sell-only account may open directly into the checkout interface without the owner's full navigation. That is expected, not a missing settings page. On web and Windows the Sign out button is in the Barcode Scan toolbar. Finish the current sale before signing out; an unfinished cart requires confirmation.

If the cashier needs a price, product or printer change they cannot access, ask an authorized owner. Do not share the owner session just to bypass the role.

Admin PIN and sensitive actions

The owner can maintain an Admin PIN in Settings → Security. Leaving the field blank keeps an existing PIN. Use it only when an authorized protected action asks for it. A PIN is not the staff sign-in password and does not grant access to an otherwise forbidden module.

Read the full confirmation before edits, deletions or restore. Never place the PIN on the till or include it in a support screenshot.

Change roles or reset a staff password

Use Edit staff to review assignment details. Use Reset password for a staff member who cannot sign in, then enter and confirm the new password. Use Edit role to change its permitted pages; remember that more than one staff member may use that role. Verify access again after a new sign-in.

Before deleting staff or changing access during a shift, finish their work and check for pending offline sales. Deleting an account is not a backup or a way to move queued transactions to another account.

Safe handover checklist

  • Current sale finished, and any unfinished cart deliberately handled.
  • Pending offline work checked and synchronized where possible.
  • Cash and payment evidence handed over according to the shop's process.
  • Outgoing cashier signed out; incoming cashier verified their own name and business.
  • Owner password, PIN and backup files kept private.
